What You Need to Know About Hybrid Meetings
Tuesday June 30, 2020
Hybrid meetings, a mix of in-person and virtual meetings, are gaining increased popularity due to Covid-19. These meetings allow local business people to meet in-person, while livestreaming or broadcasting to virtual platforms. Need to plan a hybrid meeting? Here are a few things to consider first:
- Choose the right platform Having a reliable program and internet redundancies (in case the internet goes down) will help your event run smoothly. The last thing you want is for half your attendees to be left in the dark because of an outage or an overwhelmed virtual platform.
- Test the platform & educate yourself on the virtual attendee experience Try the program before the day of the meeting to familiarize yourself with how it works. Test it both as a presenter and attendee so you can answer any questions that arise.
- Educate your presenters on how to be inclusive of virtual attendees Will the virtual attendees have access to the same content? Make sure you’re able to provide digital copies of any handouts or materials used in the meeting.
- Make sure your venue has enough bandwidth to handle the meeting Not all venues have the bandwidth capabilities virtual meetings require. Look for a venue, like our conference theater, that was built specifically to allow virtual meetings. These venues will have the most up-to-date capabilities.
- What interaction on behalf of the virtual audience is necessary? When you begin to plan a virtual meeting talk to your technology provider about how your virtual attendees can interact.
